ReloHQ is a relocation management platform operated by Costa Rica Relocation & Travel LLC, operating as ReloHQ (“we,” “us,” or “our”). Our platform serves relocation agencies and their clients.

Account information: When you sign up, we collect your name, email address, and password. Agency subscribers also provide their operating country.
Payment information: Payments are processed by Stripe. We do not store your full credit card number. We retain a Stripe customer ID and subscription ID associated with your account.
Client profile data (agencies): Relocation agencies enter and manage client information through the platform — including names, email addresses, phone numbers, move origin and destination, move dates, household members, relocation package type, and internal notes. This data is entered by the agency on behalf of their client relationships.
Intake questionnaire responses: Clients and agencies may complete relocation questionnaires covering housing preferences, rental requirements, scouting trip preferences, and general relocation context. These responses may include information about household size and composition, budget, school-age children, and personal preferences.
Uploaded documents: Agencies and clients may upload files to the platform for relocation management purposes. These files may include sensitive personal documents such as passports, national ID cards, financial statements, medical records, rental agreements, and travel itineraries. All uploaded files are stored in private, access-controlled storage.
Housing and property data: Agencies may record property listings, photos, and client interactions (likes, rejections, comments) as part of the rental search process.
Scouting trip data: Trip dates, destination details, itineraries, and associated documents may be stored in connection with scouting trip services.
Usage and activity data: We log basic activity on your account (e.g., tasks completed, documents uploaded, notes added) to provide the service, display activity timelines, and maintain audit records.
Lead capture and community: If you download a resource or request information from our website, we collect your name and email address with your consent. If you join our ReloHQ Facebook community group, your name and Facebook profile information may be processed through Zapier to send you a welcome email and subscribe you to relevant communications. You may unsubscribe at any time.
Affiliate and referral tracking: Our website uses Rewardful to track referrals from affiliate partners. When you visit our website, Rewardful may set a cookie to record which affiliate (if any) referred you. If you subsequently sign up for ReloHQ, your email address is shared with Rewardful solely to attribute the referral. This applies to all visitors to our public marketing pages.
Website analytics and advertising: Our public marketing pages use the Meta Pixel (Facebook Pixel) to measure the effectiveness of our advertising campaigns. The Meta Pixel may collect information about your browser, device, and actions taken on our website, and this data may be associated with your Facebook profile if you are logged in. This applies to visitors to our public marketing website only, not to logged-in platform users.

We do not sell your data. We do not use your platform data (the data you enter as an agency or client) for advertising purposes. Our public marketing website uses the Meta Pixel solely to measure the effectiveness of our own advertising campaigns — your platform data is never shared with Meta.
We share data only with the service providers necessary to operate ReloHQ:
Each provider processes data only as necessary to provide their service and is bound by appropriate data protection agreements.
We may disclose information if required by law or in response to a valid legal process.
Active accounts: We retain your data for as long as your account is active.
Cancelled accounts: Upon cancellation, your account and all associated data remain accessible for 14 days. After 14 days, your account and all data — including client profiles, documents, tasks, and timelines — are permanently deleted. We strongly recommend exporting any data you wish to retain before cancellation.
We are not responsible for data loss resulting from account cancellation or non-payment.
Strictly necessary cookies: ReloHQ uses session cookies to keep you logged in to the platform. These are required for the service to function.
Affiliate tracking cookies (Rewardful): Our public marketing website uses Rewardful to track affiliate referrals. When you visit our website, Rewardful may set a cookie to identify which affiliate partner (if any) referred you. This cookie is set on all visitors to our public marketing pages, including unauthenticated visitors. You can opt out by using a browser with cookie blocking enabled.
Advertising and analytics (Meta Pixel): Our public marketing pages use the Meta Pixel to measure advertising performance. This may set cookies that track your activity across websites. You can opt out through Facebook’s cookie settings or by using a browser extension such as uBlock Origin.
Tracking and advertising cookies apply only to our public marketing website. Logged-in platform users are not subject to advertising tracking within the platform itself.

Our legal basis for processing is: performance of a contract (to provide the platform you subscribed to) and legitimate interests (to operate and improve the service).

We take reasonable technical and organizational measures to protect your data, including encrypted connections (HTTPS), row-level access controls so each agency and client can only access their own data, private storage buckets with time-limited signed URLs for file access, and use of reputable hosting infrastructure. However, no method of transmission over the internet is 100% secure.
Uploaded files — including sensitive documents such as passports and financial records — are stored in private, non-publicly accessible storage. Files are only accessible via authenticated requests that generate short-lived access tokens.
ReloHQ is not directed at children under 16. We do not knowingly collect personal information from children. If you believe a child has provided us data, contact us at hello@relohq.app and we will delete it.
We may update this Privacy Policy from time to time. We will notify you of significant changes by email or by posting a notice on the platform. Your continued use after changes take effect constitutes acceptance of the updated policy.
